CONFERENCE WRAPUP
Great job everyone! Next years Fall Camp-Out Conference will be at Joshua Tree.
MEMBERSHIP
Helen updated the Board that we had approximately 80 people attend our Camp-Out Conference with 76 paid for attendees. A lot were membership renewals with 20 to 25 new members.
Helen will do an e-mail list.
TREASURY
Zayanne reported that Southern AEOE had $12,200 total before this weekend.
NORTHERN FALL CAMP-OUT CONFERENCE
Dan said that the Northern Fall Conference cleared $2,000 and was attended by a smaller number of people than typical, about 120 people. Dan was glad that he had been able to join Southern for this weekend Camp-Out.
NAAEE
Debbie and Hoppy attended the NAAEE Conference held in South Padre Island, Texas. Debbie reported to the Board on the NAAEE affiliates meeting and contacts made by Debbie and Hoppy by attending the Conference.
Re:affiliates meeting-- Bonnie Shelton is new. NAAEE only has money in their budget for about 3 months so NAAEE would like to be a stronger united voice and presented the affiliates with three options designed to help NAAEEs budget troubles.
Option 1) All affiliate organizations are reciprocal members and pay $45 total, with $10 going to the affiliate organizations membership fee.
Option 2) Affiliate organizations to become chapters of NAAEE, with affiliate bylaws scrapped for NAAEE. Option 3) Become chapter or affiliate with $10 per member.
Re:contacts made-- Met Jeff of Tree People, Lori Mann, Jenny Rigby (see GSEEC below), Mark Marsolo (is from CA and on the NAAEE Board), Carlos Y., and Jeff Hoansee (who was here this weekend because of this contact and is the Chair of GSEEC).
Debbie will e-mail a report to the Board summarizing NAAEE contacts and her reactions to the affiliate focus meeting.
Janice voiced a concern that AEOE is growing so quickly (in response to an article and to Hoppys e-mail), are we taking time to research who we are working with and why (what are AEOEs goals in growth)? She suggested that we proceed carefully. Zayanne responded to the resultant discussion that AEOE should form an ethics committee.
STATE COORDINATING SECRETARY
Debbie asked to put LINK magazine on our mailing list and to send LINK our newsletter. Send Debbie a report of related organizations activities so she can send information for the newsletter to Maggie. As AEOE liaison, Debbie reported to the Board that she has worked on the following:
She sent a conference flyer to ROEE.
We are now a member of ORION and we get $10 back for each ORION membership from AEOE members. Julie will send articles to Debbie to look for reprints in our newsletter.
Tim Grant from Canada has offered for every new member to receive a free copy of Green Teacher.
Debbie updated the Board on 501C3. She will send a copy of the paperwork to Kate to help Debbie figure out tax forms.
Debbie presented her budget format pages to the Board.
During ongoing discussion of AEOE budgets, points raised included: why are we paying certain people for volunteer jobs; budget fluctuations given which section is hosting the statewide conference; long term treasury goals; and, sectional budgets.
Debbie proposed, and Helen motioned that Zayanne write out a check for Janice for $300 total, with Debbie reaching agreement with Northern section that Northern will pay Southern section back when possible, and that Southern section will pay the coordinating secretary budget for now . Zayanne seconded and the motion was passed by the Southern Board.
Helen stated the motion that Zayanne write out the check for Maggie as Newsletter Editor for $100.00 stipend per newsletter upon that editions completion. Julie seconded and the motion was passed by the Board.
ACTIVITIES
Michael-- Bird watching trip which Eric will lead. Last weekend in February 23-25,2001.
Robin-- Catalina Two Harbors Campground & boat trip. March 23-25, 2001.
Kate & Julie-- Joshua Tree in Spring. Julie called Ernie and found out that she will have to call again at the appropriate time to make reservations. May.
CSTA
Kate and Hoppy met with CSTA. New board position on CSTA Board for Nontraditional like outdoor schools, museums, nature centers, and plant societies. CSTA meets twice a year and will pay for transportation. Debbie will write up in column and Kathleen will ask around at COSA for folks interested in volunteering for the new CSTA Board position.
GSEEC/CREEC
Kathleen reported to the Board that GSEEC is:
1) Making a CREEC network.
2) Organizing listening sessions ...concerned that CA environmental organizations overlap in focuses and plan to check out whose niche is where; Kathleen is willing to attend the GSEEC meetings.
3) Advertise our conference in their newsletters...and that CREEC is very interested in AEOE.
Judy T. is on the L.A . CREEC board.
ACA
ACA contacted AEOE regarding their interest for us to work together. It will cost $75 for a table at the ACA conference. Zayannes site will pay for her to go. Zayanne, Helen, and Janice will be involved.
AEOE POLICIES ON WHEN ATTENDEES REGISTRAR AND PAY
This subject arose with Board discussion concerning fees for attendees and presenters at Southern conferences and events. If a presenter is only presenting and not attending any of the event, does that presenter still have to be an AEOE member to present at the conference?
Do attendees who registered and didnt show up (or registered last minute by phone, did not pay, and did not show up) have to pay? The Board decided that we should not plan on late registration folks who have not paid for food and that they should pay the walk in fee. For future events, attendees will only be given the options of preregistration or walk in fees and no phone call registrations.
FAMILY MEMBERSHIP
This Camp-out, the NASA presenters attended the conference along with family (children). Tom ended up paying membership for all three (himself and his two children) and 1/2 off for the 2 childrens attendance. Thinking behind this was that attendees must be covered by AEOE insurance and that we can make this policy based upon each conferences special situations. Debbie will check if family members must be members to be covered by AEOE insurance.

Zander, who works with Julie, is interested in the AEOE Web Master position.
HISTORIAN
Janice said that she is up to date in terms of money. She gave the Historian budget to Debbie.
