Membership
- We need to notify Dan Alison that there needs to be two address for North and South Membership: Helen and Hoppy and not all AEOE mailing should be sent to our PO Box
- Our PO box is only for general business!
- All job postings need to be mailed to Web Master or Treasurer
- Web Postings are now $10 up from $8
- Institutional Membership
- Joe Shmoe gets a free personal membership if he is the one who signs up his institution.
- The institutional membership is $30
- Dan Allison has volunteered to make a map of outdoor schools who have an institutional membership for the conference
Green Teacher
- They will have a stack of magazines at the conference to give to new members who sign up at the conference
Web Site
- Jodi appreciates when all persons responsible for a certain sections of AEOE tell her when things need to be changed on the Web Site i.e. Michael telling her that a date needs to be changed on the web for a certain activity
- Motion made by Maggie to motion state board to have a 1year minimum and 2 year maximum on organizational job postings, past minutes and past newsletters&Mac183;.All the old things will be downloaded and given to Web Master, State Coordinating Secretary, and Historian so they can be accessible to all who made need them.

California State Plan
- Kathleen shared that Bill Andrews plans on having a celebration when the CA State plan for science education comes out in the spring. The plan does mention some about outdoor schools and taking students out of the classroom. Yipee!
Treasury
- Zayanne brought up a discussion to try and consolidate the state's treasury activity by having one person (Zayanne) be the treasurer for the entire state, southern and northern. The northern and southern liaisons would just send receipts to Zayanne and she would load them into a software program like Kwiken. She has been meeting with a CPA for the YMCA of San Diego Jeff Bowman who has been giving her advice of how to go about consolidating the treasury. It was decided at state meeting to let Zayanne do with the treasury as she wanted.
- Motion by Zayanne to motion the state board with the idea of setting up the state treasury on a Kwiken system which would eliminate the need for southern and northern treasurers. This would also allow for an annual report to be published more easily. It would create one CFO. 2nd by Robin BA This will be discussed with the board and Savannah at the conference.
- We probably won&Mac226;t need to hire a CPA because Zayanne&Mac226;s friend Jeff will do it for free.

Motion by Zayanne to pay Maggie $200 for her work on the newsletter. 2nd by Helen BA
Newsletter
- Newsletter is more expensive to do by stamps but bulk mail is cheaper but more work.
- 57 cents for stamps 22 cents for bulk per issue
- $100 less per issue distribution when done by bulk but there is no guarantee it will get there on time. Motion by Maggie to renew the bulk mail permit if there is only a chance that one of the issues will be by bulk. The permit is $100 to renew so if we do it once we will break even. 2nd by Michael.
- February 1st is the newsletter deadline.
Conference
- Registration Deadlines

- Early registration till March 31 $95
- Regular Registration till April 13 $120
- Late after this or on site payment $150
- We need a housing person to give all assignments at the conference
- Maggie needs from Zayanne and Helen a format for registration form
- Anita is doing a T-shirt design design something abstract, about Malibu, coming to senses north has 30 organic T-shirts left over
- Zayanne will look into the cost and minimum order of getting some mugs or bags
- Food deadline for Hess Cramer is 1 week before
- Michael will call about housing, camping, dorms and VIP housing
- Presenter deadline to get 50 % off is Feb 14th
- Workshops will go in the newsletter that goes out March 1st
- All presenters Applications that are postmarked after Feb 14th will get 40 % off Workshops
Robin is doing an awesome job getting all the workshops together. She will send all the workshops she has already to everyone
Robin will contact Hoppy to have him contact Bill Andrews about presenting about the CA state plan

We are going to keep the same schedule as Thousand Pines schedule
See if Byrd Balor can sign books as people enter the dining hall on Saturday and inside the Dining hall also B4 keynote
Day Users
- Have them register after early registration cost will be $45, which includes all the workshops but not the food
- They need to be a member
We need to put in the flier that people cannot cook at Hess Cramer
We are going to try and get a Blue Grass Band for Friday night during registration and we will start registration at 8:00
