Membership Coordinator [State]

The membership coordinator of the Association for Environmental and Outdoor Education will:

  1. Maintain a computerized database of the membership.
    1. Maintain information in the database regarding section of membership, type of membership, newsletter preference, email address, expiration, premiums (such as magazines), etc.
  2. Provide mailing labels as needed
    1. Print mailing labels for newsletters and other publications of the organization.
    2. Work with the section newsletter editors to get them the current mailing labels in a timely manner.
    3. On newsletter labels indicate expiration date and type of membership - on labels of expiring members, indicate "please renew," highlighted.
  3. Maintain email lists and send emails as needed to list recipients
    1. Send paperless newsletter subscribers email notification when the webmaster gets the newsletters online each quarter.
    2. Maintain email list of members and send out email newsletters from the publicity coordinator to members as needed.
  4. Promote and maintain AEOE membership
    1. Respond promptly to requests for information about AEOE membership (or refer to an appropriate board member).
    2. Actively maintain the membership by encouraging renewals and informing the members of membership benefits.
    3. Work with publicity chair to expand membership by reaching out to environmental educators that are under-represented in AEOE, such as classroom teachers, agency employees, and minorities.
    4. Notify members of their expiration date - this can be done via newsletter mailing label, via email, or other form of notification
  5. Work with other board and council members on items pertaining to membership
    1. Assist/advise the board/publicity committee in developing and revising membership materials (membership forms for newsletters, website, conference registration packets, brocures, etc.)
    2. Coordinate with board and councils, specifically conference registrars/coordinators, outings coordinators, and public relations chair for updating the membership database from conference registrations, outings, and suggestions for outreach through the complimentary mailing list.
    3. Work with Webmaster to keep information up to date and maintain contact with institutional members to encourage continued support, and sponsoring or supplementing membership and conference attendance for their staff. Send confirmation emails to institutional members with reminders of their benefits.
    4. Work with board on providing member benefits, including membership level premiums, such as Green Teacher or Clearing Magazines.
    5. Participate in temporary committees to work on specific issues such as membership materials and outreach.
  6. Communicate and participate in decision-making, especially regarding membership issues
    1. Provide reports to the board and councils on membership numbers and trends, including an annual membership report to the President/Executive Board. (Article VIII, Section N.1.)
    2. Recommend to the state board changes in membership categories and fee levels.
    3. As a standing committee chairperson will have voting privileges. (Article VIII, Section E and F)
    4. Be an active, voting member of the board - participate in discussions, attend meetings, vote on issues.
