    Job Title: Operations and Development Coordinator        

    Position Type: Part-Time (20 hours per week)

    Reports To: Executive Director

    Position Overview: 

    The Operations and Development Coordinator is an entry-level position that offers an exciting opportunity to gain hands-on experience at one of the Bay Area’s leading environmental education nonprofits in the areas of operations, finance and development. Reporting directly to the Executive Director, this role will support the organization in its day-to-day activities, from managing office systems to assisting with fundraising and donor relations. The ideal candidate will be a motivated, detail-oriented individual with a college degree, a strong desire to learn, and an eagerness to contribute to the organization’s growth and success.

    Key Responsibilities:

    Operations & Finance 

    Provide daily operational support to the Executive Director, ensuring tasks and projects are completed efficiently.

    Maintain office supplies and equipment, including inventory management and procurement.

    Handle incoming correspondence, inquiries, mails, emails, and phone calls, ensuring appropriate follow-up and action.

    Help coordinate events, by providing support with scheduling, planning, day-off staffing and IT support.

    Support the bookkeeper in processing check requests for vendor, contractor, and staff payments and in preparing monthly reports and spending reconciliation reports.

    Process invoices and donations, including depositing checks from donors, grants, and invoices on a weekly basis.

    Assist with credit card payments and track checks for invoices related to school and community programs.

    Development

    Assist in planning and managing fundraising campaigns for Wake Up to Nature (annual fundraiser in March) and other online campaigns.

    Develop written and visual collateral for donor outreach and donor events, including content for newsletters and social media posts. 

    Track and manage data entry for individual donations and grants and send timely Acknowledgement Letters for donor recognition.

    Create and update donor reports to support outreach and fundraising efforts in SalesForce. 

    Position Requirements and Specifications

    Bachelor’s degree or equivalent experience required.

    Strong enthusiasm and willingness to learn in a fast-paced, dynamic work environment.

    Excellent organizational skills, with the ability to manage multiple tasks simultaneously.

    Strong attention to detail and the ability to prioritize tasks effectively.

    Excellent written and verbal communication skills, with a customer-service-oriented approach.

    Ability to troubleshoot basic technical issues and manage IT needs, with support when necessary.

    Ability to handle sensitive information with discretion and maintain confidentiality.

    Familiarity with Mailchimp, Salesforce, HootSuite, Gusto and Asana or other task manager software is a bonus.

    Basic understanding of finance and bookkeeping principles is desirable but not required.

    Interest in environmental nonprofit work and an interest in making a major impact at a small nonprofit organization.

    Work Environment:

    This position will involve working in a lively open workspace environment. EV staff maintain a positive, can-do attitude, and a willingness to step in and contribute where needed. The candidate must be available to come to the office at the EcoCenter in Palo Alto at least 4 days a week. Evening or weekend work may be required for events or special projects.
