What You Will Do:
As the Operations Manager, you will be the primary steward of program logistics and information, and ensure smooth program operation. You will be responsible for all pre-trip communications with our customers, primarily school groups. You will accurately and efficiently manage pre-trip paperwork collection, communicate program logistics, and coordinate with other campus departments including Education, Sales, Facilities, and Food Service to ensure a seamless customer experience.
This is a full time, year-round, non-exempt position scheduled for a Monday-Friday work week.
This position takes place at our campus in the Golden Gate National Recreation Area, and requires regular attendance on site. This is not a remote position.
Your primary job will be to:
Communication
-
Communicate regularly with teachers, school administrators, and trip coordinators to determine logistics and to set expectations for learning and overall outcomes for our Environmental Science programs.

Conduct weekly informational phone calls with Group Coordinators, tracks and sends multiple emails to over 200 school groups a year, and train new Group Coordinators on how to prepare their chaperones for a NatureBridge experience.

Address risk management concerns with clients/vendors and coordinate necessary modifications.
Administrative

Manage online registration, Salesforce portals, and the Program Information drive.

Lead innovation and maintenance of our Customer Relationship Management (CRM) tools.

Provide the Operations Team with administrative support, onboarding / offboarding personnel, and maintaining current operations manuals.

Ensure smooth program implementation by refining, developing, communicating, and supporting logistics systems.

Support the Operations Team to maintain a comfortable and welcoming campus for all NatureBridge customers.

Participate in weekly cross departmental meetings and monthly meetings with National and other campus Operations teams.

Perform all other duties as assigned.
Other
-
Provide support to the Education team, including collaborating with Education Managers on weekly meetings, annual hiring processes and staff training.

Performs duties of the Evening Team members when needed.

Assist other departments as needed (kitchen, education programs, facilities, national office, or help with special events, etc.).

Relevant administrative, operations, or educational experience.

Organized and able to balance competing logistics between programs while maintaining attention to detail

Written and verbal communication and customer service skills. Able to communicate complicated logistical information to multiple groups

Capable of working as part of a collaborative team; maintains positive working relationships with staff and guests.

Strong problem-solving skills; able to make decisions independently while meeting the needs of multiple stakeholders

Demonstrated office experience, ability to manage and communicate information quickly and accurately

Experience with Google Suite of apps (Calendar, Gmail, Sheets and Docs) and database management or Customer Relationship Management program (CRMs). Internet and e-mail experience required
