About Rancho Alegre & The Outdoor School
Camp Rancho Alegre is a multi-use outdoor facility nestled in the Santa Ynez Mountains across from Cachuma Lake. Our flagship program is The Outdoor School, a residential science and nature camp for 5th and 6th graders. Camp also hosts programs for Scouting America and rents to partner non-profits.
Position Summary
The Camp Rancho Alegre Administrative Assistant is the key administrative support for Rancho Alegre’s year-round operations. This person organizes behind-the-scenes logistics that facilitate the Outdoor School and outside groups. Key tasks include coordinating paperwork, managing the camp store, and updating the website. This role ensures the campus runs smoothly and professionally.
Working alongside the Director of Camping Programs and Director of Camping Services, this person is the central organizer for the camp’s office operations, schedules, and communication.
Key Responsibilities
Outdoor School Administration

Collect, organize, and maintain student paperwork: rosters, liability releases, and dietary information.

Send, track, and follow up on school contracts and invoices.

Prepare and print weekly cabin and hiking group schedules in collaboration with the Director of Camping Programs.

Communicate dietary needs and student counts to the kitchen team.

Assist with school arrival and check-in logistics.

Track and organize lost and found items for returning to schools or students

Maintain a friendly and responsive presence in the camp office.
Trading Post (Camp Store)

Oversee the camp Trading Post, including sales, restocking, inventory management, and daily operation.

Maintain financial records and ensure proper cash/card handling.

Track popular items and help plan seasonal restocks.
Weekend Rentals & Group Coordination

Serve as the administrative point of contact for weekend and off-season rental groups, including scout troops, community groups, and private renters.

Maintain the rental calendar and process paperwork, contracts, and certificates of insurance.

Coordinate with the Director of Camping Services to ensure groups have what they need on arrival.

Communicate camp policies and expectations to visiting groups ahead of time.
Office & Admin Systems

Answer phone calls and emails professionally and promptly.

Maintain organized records for schools, staff, and rental groups.

Support seasonal staff onboarding paperwork and personnel recordkeeping.

Manage basic supply inventory (first aid, office supplies, program materials).

Input and track data, including student numbers, scholarship use, and post-program surveys..

Update the camp’s website and online forms or calendars as needed (with guidance from the Camp Directors).

Assist with taking and organizing photos of program days or rental groups (with permission/consent), and coordinate occasional media posts or outreach.

Keep the office space tidy, professional, and welcoming.
Qualifications
Required:

Strong organizational skills and attention to detail

Friendly and professional communication, both written and verbal

Proficiency in Google Workspace (Docs, Sheets, Forms, Calendar)

Proficiency in Microsoft Workspace (Outlook, Excel, Word)

Ability to manage multiple tasks in a fast-paced camp setting

Comfortable working independently while collaborating with a team

Valid driver’s license
Preferred:
-
Experience with school, camp, or nonprofit administration

Familiarity with retail or inventory tracking systems

Spanish language skills
-
CPR/First Aid certification or willingness to obtain
Compensation & Schedule
-
Schedule: Primarily Monday–Friday, with occasional evening or weekend work for special events or program needs

Compensation: $17 an hour; Scouting America benefits package; meals when provided for Camp Programs
